Data Pre-Processing Guide

Steps to ensure your file is prepared for boodleAI. These are worth the time - we promise!

  1. Make sure you have the minimum identity information included in your file:
    • Full name or First Name and Last Name
    • Residential/Mailing address and/or Email
    • Phone number (if available) 
  2. If possible, include the Unique ID generated by your CRM for each record. This is helpful when matching your boodleAI enriched data back to your CRM data. 
  3. Remove any duplicate records to ensure your personas, insights, and custom guidon results are not skewed. 
  4. Remove any corporations or organizations (we can only identify and enrich individuals). 
  5. Remove any records with significant identity information gaps or fill in those gaps prior to upload. 
    • Examples of identity information gaps include blank first name and/or last name, anonymous name, blank contact information (i.e. if the record has no email and no physical address listed). 
    • Our system will attempt to enrich any records that have partially complete identity information, which will count towards your overall record usage. However the likelihood of our system correctly identifying an individual decreases without at least the minimum identity information (i.e. full name + residential/mailing address and/or email). 
  6. The platform only accepts CSV files, and all special formatting must be removed (there should be no colors, wrapped text, formulas, bolded font, etc). 
  7. The platform cannot upload files with duplicate column headers. If your file has duplicate column headers, rename them. For example, if you have multiple 'Phone Number' columns, you will receive an error when uploading it. You could rename the duplicate columns to 'Phone Number_2', "Phone Number_3' and so on. 
  8. Check to see if your name column contains a first name, family name, or includes multiple names are make corrections in your data accordingly:
    1. First Name: Ron AND Last Name: Swanson = good πŸ˜€
    2. Full Name: Ron Swanson = good πŸ˜€
    3. Full Name: Swanson Family = unusable 😣
      To correct this, use the primary contact's name only. You must provide a first name and a last name. 
    4. First Name: Ron and Diane AND Last Name: Swanson = unusable 😣
      To correct this, choose one of the two names. 
    5. First Name: Ron and Diane AND Last Name: blank = unusable 😣
      To correct this, use the primary contact's name only. You must provide a first name and a last name. 
    6. Full Name: Ron and Diane Swanson = unusable 😣
      To correct this, choose one of the two names. 
    7. Full Name: Swanson Household = unusable 😣
      To correct this, use the primary contact's name. You must provide a first name and a last name.
    8. Full Name: Mr. and Mrs. Ron Swanson = unusable 😣
      To correct this, use the primary contact's name only.
  9. If your file contains emails, phone numbers, and/or addresses, make sure they are in the correct columns so that the platform reads them correctly. Here is an example of acceptable vs. unusable formatting:

  10. If your file contains emails, phone numbers, and/or addresses, make sure any gaps in information is simply left as a blank cell. See an example of an incorrectly formatted file below -- in this example, anything with β€˜0’ or β€˜none’, or anything incomplete like β€˜123’, should be deleted and left blank:

11. If you have State both written out and abbreviated, use the abbreviation and delete the other.

12. Delete unnecessary or blank columns. A file with too many blank columns will either not upload or affect the performance of the file once it is uploaded. 

13. Ensure each populated column has a header. 

14. Ensure both your file name AND your column headers do not contain special characters such as commas and quotation marks (use dashes and/or underscores if necessary).
